Booking instructions

The Organising Secretariat has pre-booked rooms in Rome to accommodate congress participants from June 30 (get-together evening) to July 4 (end of the conference).
Hotels proposed are located in the area surrounding the conference venue, “Sapienza University of Rome”, mostly at walking distance. Extra nights before or after the conference dates can also be booked.

Only reservations made through the Organising Secretariat will benefit from the rates mentioned in the hotel list.
Participants are encouraged to book accommodation as early as possible in order to have wider choice. Rooms will be allocated on a first-come-first-served basis.

The Organising Secretariat will be at disposal to suggest low-cost accommodation, if requested. Nevertheless, consider that “holiday houses” and bed & breakfast can only be booked directly. They are generally simple but can be a reasonable option for those with a limited budget.


In order to take advantage of the rates and conditions mentioned in the hotel list, submit the registration form which includes hotel booking. Participants are kindly requested not to contact the hotels directly.


Payment Instructions

Participants can pay their stay by credit card or bank transfer.

Credit Card Guarantee: Visa, MasterCard, Amex.
No charge will be applied to the participant credit card at the time of the reservation. Cards will be charged for the total amount of the stay two weeks prior the Conference.

Bank Transfer: pre-payment of the entire stay is required at the time of reservation.
A copy of the proof of payment has to be uploaded on the on-line registration form. The amount paid will be forwarded to the hotel and credited towards your account when checking-out.

  • A copy of the bank transfer in PDF or JPEG format must be uploaded to the online registration form.
  • All charges related to the payment must be covered by participants.
  • The title of the congress: EURO 2013 and the participant’s name must be clearly indicated on the bank transfer.

Any booking that is not accompanied by payment or credit card data will not be confirmed.


A notification e-mail will be sent from the Organising Secretariat upon receipt of your hotel reservation request.
Within 5 days from receipt of the booking form and relevant payment, the Organising Secretariat will issue and forward confirmation letter by e-mail.
The invoice for the stay will also be issued in due course.

Cancellation Policy and Refund

Cancellations, if any, must be provided in writing at [email protected] and are liable to the following penalties.

Cancellation received before April 15: full refund.
Cancellation received from April 15 to June 5: 1 night penalty fee.
Cancellation received after June 5: penalty fee equal to 100% of the total stay.

Reductions in the length of stay can be accepted with no penalty fees up to June 15. After that date for each room-night cancelled the penalty will be 100%.


Please note:
Penalty fees will be charged to the credit card given to secure the reservation or, in case of payment made by bank transfer, deducted from the amount paid for reservation.
Refunds will be processed within 30 days after the Conference.
